How to create a deposit invoice?

There are 2 ways to create a deposit invoice:

  • From a quotation
  • or from a draft invoice


Activate the "Deposit invoice" option in the application settings
see the article : "Make the general settings"


Create a deposit invoice from a quotation

Once the quotation has been accepted by the customer, you can create the deposit invoice. To do this, you need to :

  1. Select the desired accepted quotation
  2. Click on "Deposit invoice".
     
  3. Enter the amount of the deposit (in % of the total including VAT or in amount including VAT).
    By default, the deposit percentage is the one entered in the general settings.
  4. Click on "Save".
  5. Check the content then click on "Generate".
    If there is an error in the amount of the deposit, delete the deposit invoice and redo it from the quote or purchase order.

  6. Then validate the creation of the down payment invoice by clicking on "Validate".

Once validated, it is possible to send by e-mail, download or open in PDF the deposit invoice to transmit it to the customer. 


It is also possible to enter the payment as soon as it has been made (see details later in this article)


It is then possible to create a new deposit invoice by using the "+ Add new deposit invoice" button located under "Deposit invoice", or to directly create the final invoice by clicking on "Invoice". This will then take all the elements of the initial quotation and automatically deduct the elements of the validated deposit invoice(s), in order to invoice the remaining difference.

 


Créer une facture d’acompte à partir d’un projet de facture

La création d’une facture d’acompte ne peut être réalisée que si la facture est à l’état “Brouillon” ou “Produit”. Pour cela :

  1. Sélectionner la facture à l’état brouillon ou produit souhaité
  2. Cliquer sur “Acompte +Créer
  3. Sélectionner le montant de l’acompte (en % du total TTC ou en montant TTC).
    Par défaut, le pourcentage d’acompte est celui renseigné dans le paramétrage général.
  4. Cliquer sur “Enregistrer


  1. Check the content then click on "Generate".


  2. Valider ensuite la création de la facture d’acompte en cliquant sur “Valider


Once validated, it is possible to send by e-mail, download or open in PDF the deposit invoice to transmit it to the customer.

Schedule the validation of an deposit invoice in the future

Under certain conditions, it is possible to schedule the validation of a deposit invoice in the future.

Add a payment on a deposit invoice

  1. From the deposit invoice, click on "Payments".
  2. Click on "Add payment" to collect a payment linked to the deposit invoice
  3. Complete the fields corresponding to the payment (date, amount, payment mode, payment reference and notes)
  4. Click on "Save" to finalise the payment
